How do I log into Elements

Review instructions on how to log in using your Single-Sign On (SSO, Shibboleth). The web address for Elements is uo.elements.symplectic.org. Have your Duo Mobile access ready to approve the SSO push notification to allow you access.

How can I change my name, email address, pronouns, or other profile information?

  • Homepage > click on Edit My Profile > find Account Settings (it's underlined and blue, top of the page near your profile details) and select > go to the Preferred Name section > click into each box for first/last name and adjust > select Update My Preferred Name.
  • Edit My Profile will also allow you to add email addresses, add pronouns, and edit other basic profile content.

Why is my activity incomplete?

We are still implementing and working on bringing data over to faculty profiles. Teaching activity and sponsored project activity data are mostly complete from our automated data feeds. Scholarly activity and service activity are still in progress. Some information is drawn from databases, internal UO systems, or transcribed from faculty CVs. 

What are the My Actions tasks?

A to-do list of actions faculty are recommended to take to improve their profile, get setup in the system, and complete assigned reviews. Not all tasks are listed in this carousel. See also, My Actions instructions.

How do I navigate the system?

Use the left-hand navigation bar to access assigned review dossiers, go back to your homepage, review your activity, etc. Follow in-system instructions closely. Review the Homepage Tour.

How do I find my assigned faculty dossiers as a viewer? How do I find my assigned faculty dossiers as a reviewer?

Find your role as viewer or reviewer (ask support staff if you are unclear which role you have in Elements) and then follow the instructions or videos on our Faculty as Viewers/Reviewers page.

I can't access a faculty dossier that I should have access to?

Email your dean's office or support staff. Note that a file may be assigned to you but may not be visible because it is in another review stage (e.g., the faculty member is working on prepping their file). 

I accidentally hit Submit or Mark as Done, what do I do now?

Contact your dean's office or support staff. We can move a review dossier back to a review stage if someone accidentally moves it along. Follow the instructions your support staff provide on if you are uploading any documents, hitting submit, hitting Mark as Done, or simply looking over the dossier and doing nothing in Elements.

How do I vote on a faculty review?

Discuss this with your support staff. Internal processes like voting are not usually in Elements and you will use in-person voting methods, Zoom, Qualtrics, or MS Forms to gather votes. 

Can I download documents from a faculty dossier?

You can download materials provided by the faculty member like their CV and candidate statement. You cannot download materials like external review letters. This is to complete with Oregon records law, internal UO policies, and to improve our practices with confidential personnal material.

Can I download a full PDF of a faculty dossier?

Not at this time. OtP is pursuing an option for AY26-27 to be able to perform this action but it is under development. 

Where can I find written or asynchronous video instructions?

Check out our main Elements page and the subpages on specific topics like editing your scholarly activity or uploading documents to your assigned major review. Each section has written and video instructions.

Where can I get more hands on training with a real person?

See our training and support hours information. Identify your role (admin, support staff, or faculty) and what you need help on. This will help you attend the correct training.

Who can help me?

Support staff can help with questions about your viewer/reviewer role, dossier contents, and internal unit practice.

Dean's offices can help with questions about school/college practice, access and permissions, major reviews processes, and relevant policies.

OtP can help with technical issues, access/permissions, general system training and support, major reviews support, and profile/activity support.

Is my data safe? 

Yes. We have everything behind our SSO and only faculty and administrators/support staff with a legitimate business purpose have access to the system. Support staff and admin can only access the groups (e.g., school, college, unit, dept) they are responsible for or support. Typical processes for a full procurement were followed including data security and safety measures. You can review more in the Help Guide on the Elements site. See Your Data.
